Portion Tracking

A concept in a sample storage, variable from laboratory to laboratory, is the difference between a sample split and a sample portion. These terms might be inter-changeable in some laboratories, but not in other laboratories.

As Registered portions are created for a registered sample to track all portions submitted to the laboratory for the sample.

Laboratory portions are created during the analytical process applied to a sample.

A portion is linked to its current location and sample handling action, and to the container it which it is held, and the container in which it is containerised.

During system setup, a laboratory is configured to track sample portions either by job or by sample. Refer to Configuring Portion Tracking.

Tracking Sample Portions by Job

Where the laboratory is configured to track sample portions by job, then the multi-capacity container type, location and sample handling details for job-level tracking are maintained on the Job Tracking tab of the CCREGN—Job application. Refer to Maintaining Job Tracking Details.

Tracking Sample Portions by Sample

Where the laboratory is configured to track sample portions by sample, then the sample portions can be created for a sample group on the Sample Portions tab of the CCSAMP—Sample application during registration, and after this, maintained on a sample-by-sample basis via the CCSAMP—Sample application. As-received and laboratory sample portions are maintained using the CCPRTN—Portion application.

Sample portion tracking allows for sample portion tracking from registration or sample receipt, through sample preparation, analytical preparation, analysis, storage to disposal.

  • Registering sample portions during registration—Sample portions sent by the client to the laboratory for analysis are recorded and tracked as as-received sample portions. Sample portions created in the laboratory for analysis are recorded and tracked as laboratory sample portions.
  • Creating laboratory sample portions—Sample portions created during sample preparation and analytical preparation are created based on scheme requirements, and tracked as laboratory sample portions.
  • Maintaining sample portions—Both as-registered and laboratory sample portions are maintained to update their single-capacity container type, location and sample handling action.
  • Updating sample portion details from external data—Sample portion details can be updated from data read from a scanner or file.
  • Containerising sample portions—Sample portions contained within single-capacity container types are containerised into multi-capacity container types for bulk storage.
