Create a Client Submittal in the Excel Add-In

A client submittal is an alternative method for receiving samples through AssayNet LIMS. Essentially, a submittal is a compilation of samples that are pre-logged in the AssayNet LIMS by the lab clients. Clients can create these submittals either directly in the AssayNet LIMS using several methods, via the Excel Add-In, or by utilizing third-party applications such as acQuire.

This activity describes creating a client submittal using the Excel Add-In. The Excel Add-In provides a convenient way to upload sample IDs into a submittal from an Excel spreadsheet, without having to open the main AssayNet LIMS.

Note: Only the sample list can be submitted using the Excel Add-In. To submit more fields like description or weight, use the Excel method. For more information, see Import Samples to a Client Submittal from Excel.

After the samples are logged via the Excel Add-In, they can be retrieved as needed and print the sample labels. For information on how to retrieve the submittal, see Retrieve a Client Submittal.

Activity Steps

  1. Locate and open the Excel file with the client submittal data.
  2. Select the range of sample IDs.
  3. Right-click and select LIMS » Upload Submittal. Alternatively, click the Add-In tab in the Excel ribbon and click LIMS » Upload Submittal.

    A Microsoft Excel information message displays Lost connection to LIMS. Re-connect?.

  4. Click OK.

    The Login to LIMS screen displays.

    1. Enter the Password.

    2. Click Connect.

      Note: The first time you connect to the AssayNet LIMS using the Excel Add-In, you must enter the User ID, Password, Server and Database, you can find this information in the main application login screen, under Options for the server and database.

      The Create Submittal LIMS screen displays.

      Note: The displayed form is the Access form, which provides more options for uploading a submittal compared to the Excel form. This form is loaded when at least one client has Submittals selected in the Submittal Application field. If this field is empty for all clients, the Excel Submittal Form is used instead.

    3. Update the following fields as required:
      • Project

      • Submitted by

      • Submittal Date

      • Submittal Name

    4. Update the printer options as required:

      • Labels

      • Reports

    5. To modify the packages:

      1. Click the Packages icon.

        The Package screen displays. The package in the list are associated with the selected project.

      2. Select a package from the Available Packages list.

      3. Click the Add icon to add the package to the Selected Packages list.

      4. Select a package from the Selected Packages list and click the Remove icon to remove it.

      5. Click OK.

    6. To modify a sample ID:

      1. Click and update the sample ID in the Sample ID column in the Sample in Excel table.

    7. Click Upload to LIMS to pre-load samples as a client submittal.

  5. To use the Excel form:

    Note: Ensure that none of the clients are configured with Submittal selected in the Submittal Application field; otherwise, the system will always default to the Access form.

    1. Right-click and select LIMS » Upload Submittal. Alternatively, click the Add-In tab in the Excel ribbon and click LIMS » Upload Submittal.

      A Microsoft Excel information message displays Lost connection to LIMS. Re-connect?.

    2. Click OK.

      The Login to LIMS screen displays.

      1. Enter the Password.

      2. Click Connect.

        The Upload Submittal screen displays.

    3. Click Sample Range and drag to select the samples to submit.

    4. Complete the following as required:

      • Submittal Name—Must be an unique identification for the submittal, is the name already exists in the Submittal table, the submittal will not upload.

      • Submittal Date

      • Client Name

      • Project

        Note: The packages attached to the submittal upload using the Excel form are the one assign to the project.

    5. Click OK.

      An AssayNet LIMS messages displays indicating the submittal upload was successful.
