Maintain job invoices in registration

To view job invoices:

  1. Access the CCREGN—Job application from the main menu or quick launch to display the CCREGN—Search Job screen.
  2. Enter the relevant search criteria and click Search to display jobs that match the criteria.

    Note: All codes, enumerations and Job Name fields are case-sensitive for searching.

  3. Open the required job to display the CCREGN—Job Detail screen.

  4. Select the Invoicing tab to display job invoices.

To add a job invoice:

  1. View job invoices.

  2. Click Add icon Add.

  3. Select the Client Code. This is the only mandatory field, although other fields can be entered or selected, as required.

  4. Click Submit to create the invoice.

To create a job invoice from another job invoice:

  1. View job invoices.
  2. Select the row containing the job invoice.
  3. Click the Save As row flow option to display the Save As dialog box.
  4. Select the Client Code of the client from the list.
  5. Click OK to duplicate the job invoice and display it as the last job invoice on the grid.

    If the invoice has an Invoice Status of Credited, Cancelled or Rejected, then an error is raised: Cannot SaveAs Job Invoice that is Credited, Cancelled or Rejected.

    If the invoice is a credit note, then an error is raised: Cannot SaveAs Job Invoice that is of type Credit Note.

To update a job invoice:

  1. View job invoices.

  2. For any job invoice, update the Currency, as required. If there is no currency specified on the job invoice, then no price book nor quote can be selected.

  3. Optionally reselect or update the Project Code, Contact Code, Description, Discount, Quote Code and/or Split Code.

  4. If the job invoice does not have a Quote Code selected, then optionally enter a Generic Discount.

  5. If the job's Job Type is Template or Schedule, select Update Latest Pricebook, as required.

  6. Leave Samples and Tests Locked for Update cleared until the final set of samples and tests are added to the job invoice.

  7. Click Submit to update the invoice.

    If the selected Price Book Code does not have the same Currency as the job invoice, then an error is raised: Price Book currency does not match the Job Invoice Currency.

    If the selected Quote Code does not have the same Currency as the job invoice, then an error is raised: Quote currency does not match the Job Invoice Currency.

To change the locale of a job invoice:

  1. View job invoices.
  2. Select the row containing the job invoice.
  3. Click the Change Locale row flow option to display the CCREGN—Change Locale dialog box.
  4. Select the Locale from the list.
  5. Click OK to change the locale of the job invoice.

    If the invoice has an Invoice Status of Credited, Cancelled or Rejected, then an error is raised: Cannot SaveAs Job Invoice that is Credited, Cancelled or Rejected.

    If the invoice is a credit note, then an error is raised: Cannot SaveAs Job Invoice that is of type Credit Note.

    Otherwise the job invoice grid is refreshed to show the changed locale.

To maintain rebates on a job invoice:

  1. View job invoices.

  2. For any job invoice, select the Rebates tab.

  3. To add a job invoice rebate:

    1. Click Add icon Add.
    2. Select the Rebate Code.
    3. Click Submit to add the rebate to the job invoice.
  4. To remove job invoice rebates:

    1. Click Delete at the beginning of the rows to be removed.
    2. Click Submit to remove the rebates from the job invoice.
  5. To re-sequence job invoice rebates:

    1. Click on a row and drag it to its desired position within the grid.
    2. Click Submit to apply the resequence.

To maintain surcharges on a job invoice:

  1. View job invoices.

  2. For any job invoice, select the Surcharges tab.

  3. To add a job invoice surcharge:

    1. Click Add icon Add.
    2. Select the Surcharge Code.
    3. Click Submit to add the surcharge to the job invoice.
  4. To remove job invoice surcharges:

    1. Click Delete at the beginning of the rows to be removed.
    2. Click Submit to remove the surcharges from the job invoice.
  5. To re-sequence job invoice surcharges:

    1. Click on a row and drag it to its desired position within the grid.
    2. Click Submit to apply the resequence.

To maintain taxes on a job invoice:

  1. View job invoices.

  2. For any job invoice, select the Taxes tab.

  3. To add a job invoice tax:

    1. Click Add icon Add.
    2. Select the Tax Code.
    3. Click Submit to add the tax to the job invoice.
  4. To remove job invoice taxes:

    1. Click Delete at the beginning of the rows to be removed.
    2. Click Submit to remove the taxes from the job invoice.
  5. To re-sequence job invoice taxes:

    1. Click on a row and drag it to its desired position within the grid.
    2. Click Submit to apply the resequence.

To delete job invoices:

  1. View job invoices.
  2. Click Delete at the beginning of the rows to be deleted, ensuring that the selected invoices have an Invoice Status of Initial, Draft or Edited.
  3. Click Submit to delete the selected invoices.

    If a selected job invoice has an Invoice Status of Initial, Draft or Edited, then an error is returned.

    If a selected job invoice is a primary job invoice in a merged invoice, then an error is returned.
