Finalising Jobs

Overview

A job is finalised if there is no more analytical, reporting or invoicing work to be done on it.

Finalising a job is useful, although not a mandatory step in the life-cycle of a job. It can assist with job searches, such that, those jobs that are no longer worked on can be filtered out of the search result set.

A finalised job can be unfinalised.

Process

Finalising a Job

A job can be finalised only if the job's Job Type is Production, Internal, Proposal, Schedule and Template, its Workflow Status is Completed and its Validated Date is stamped.

Upon job finalisation:

  • The job's Workflow Status is set to Finalised, Finalised Date and Finalised By are set to the current system date-time and code of the current use, respectively.

  • The job's Validated Date remains unchanged.

  • The event is audited.

A job can be unfinalised only if the job's Workflow Status is Finalised.

Upon job unfinalisation:

  • The job's Workflow Status is set to Completed, Finalised Date is unstamped and Finalised By is cleared.

  • The event is audited.

Unfinalise a job

Restrictions on Using Finalised Jobs

CCREGN—Job application, where a job is finalised, then:

  • The only action that can be performed is Unfinalise.
  • The job cannot be released, completed, validated, cancelled or reinstated.
  • The job is locked for update.
  • Biofields cannot be updated, added or removed.
  • Samples, including composite samples, cannot be updated, added, removed or deactivated.
  • Composite samples cannot be updated or created.
  • Job schemes and analytes cannot be updated.
  • QC samples cannot be modified for a job schemes.

Note: A finalised job can be saved as another job.

CCSAMP—Sample application, where a job is finalised:

  • The job's samples are locked for update.
  • Sample biofields cannot be updated, added or removed.
  • Sample schemes and analytes cannot be updated, added or removed.
  • Sample specifications cannot be updated, added or removed.
  • Sample portions cannot be updated, added or removed.

CCBTCH—Job Batch application

  • Samples within a finalised job are excluded from the sample search and cannot be included in a laboratory batch job. The job's samples can be included in an export to report.
  • A laboratory batch sample related to a finalised sample cannot be updated, and the laboratory batch samlpe sample cannot be released, completed nor validated.

CCQCSM—QC Sample Modification application

  • When a finalised job is opened, then QC samples cannot be added, re-sequenced, deleted nor updated. The job's samples can be included in an export to report.

    Note, however, that when a laboratory batch job is opened in the CCQCSM—QC Sample Modification application and a related production job is finalised, then duplicate, replicate or spike QC samples related to a sample in the finalised production job can be created in the laboratory batch job.

CCWKOP—Open Workbook application and CCWKOPTRAN—Open Transposed Workbook application

  • Samples within a finalised job are displayed read-only in a workbook or worklist.
  • A laboratory batch sample whose original sample is within a finalised job are displayed read-only in a workbook or worklist. When a sample is read-only in workbook, its sample scheme analytes appear as read-only cells, cannot be unlocked, and a new reading cannot be entered nor captured from an instrument, all fields in the lower panel are read-only, and no workbook command can be executed that has a potential effect on the sample, sample schemes, sample scheme analytes.

CCVALN—Validation application

  • Samples within a finalised job are not visible, such that, the job and its samples cannot be validated nor unvalidated, job and sample notes cannot be entered, signatories cannot be added to the job, sample scheme analyte results cannot be validated, released, have detection limit failures ignored, have QC failures ignored, or have repeat analysis requested.

CCRPTR—Report Request application

  • A finalised job and its samples, schemes and analytes be added to a report request of any type.

CCINV—Invoice application

  • A finalised job cannot be invoiced.

CCPRTN

  • Where a portion is associated with a sample in a finalised job, when the portion's Location Code is updated that could potentially mark a sample preparation scheme's Workflow Status as Not Started, Started or Completed, based upon the location's configuration, then NO changes are made to the associated sample scheme, sample, job scheme or job's Workflow Status, otherwise all other changes are applied as per usual.
