Search for Invoices to Generate a Financial Report

Use this activity to search for invoices to generate a financial report.

Activity Steps

  1. Access the CCFNTP—Financial Report application from the main menu or quick launch to display the CCFNRP—Search Financial Report screen.
  2. Select Invoice Type to return proposal invoices, proposal job costs, production invoices, credit notes, or production job costs.
  3. If Invoice Type includes only proposal invoices, production invoices or credit notes, then select the Display Currency as either Invoice or Laboratory. (If Invoice Type includes proposal job costs or production job costs, then the Display Currency can only be set to Laboratory.)
  4. Select Sort Order to pre-set the order of the records in the grid.
  5. Enter other relevant search criteria and click Search. (All codes, enumerations and Job Name fields are case-sensitive for searching.)

    Invoices that match the criteria display in the grid, and show the relevant job invoices for single-job invoices, and the primary job invoice for merged invoices. These invoices are then used to produce a financial report.

    Only production jobs are searched. Laboratory batch, internal, proposal and template jobs are not searched.

    Proposal invoices, production invoices or credit notes where the primary job invoice is a cancelled job, or proposal job costs or production job costs where the job is a cancelled job, are excluded by default in search results.

    Tip: To return cancelled jobs in the search results set, include Cancelled in the Workflow Status criteria and check the Include Cancelled Jobs check box. Where this is selected, then the Cancelled date range criteria becomes available on the Job Criteria tab. Where this check box is cleared, then any selection of Cancelled in the Workflow Status criteria is ignored. Refer to the Cancelling Jobs for limitations placed on cancelled jobs and samples.

    Depending upon the selected Display Currency, the various invoice amounts are either displayed in the invoice's Currency as they appear in the invoice, or are converted to the laboratory's Currency and displayed. Exchange rates, as configured in the MSECUR—Currency application are applied, such that, if the invoice's Invoice Status is Authorised, the exchange rate with a date window that matches the invoice's Authorised Date is used, otherwise if the invoice's Invoice Status is anything else, the latest exchange rate is used.

    • A proposal invoice displays the WIP Amount, Estimate Amount, Invoice Amount Incl Tax and Invoice Amount.
    • A production invoice displays WIP Amount, Estimate Amount, Invoice Amount Incl Tax and Invoice Amount.
    • A credit note displays Invoice Amount Incl Tax and Invoice Amount. (WIP Amount and Estimate Amount display as zero as these amounts are not relevant for a credit note.)

      A production job cost invoice displays WIP Amount and Estimate Amount. (Invoice Amount Incl Tax and Invoice Amount display as zero as these amounts are not relevant for a production job cost invoice.)

      Note that if the invoice's Ignore Tax is selected, no tax is applied to the invoice.
    • An invoice's Is WIP Est Outdated check box indicates whether the WIP and Estimate Amounts need to be recalculated for a financial report invoice or the Cost WIP and Estimate Amounts need to be updated for a financial report cost invoice.
