Maintain staff accounts

To search for staff accounts:

Click Staff in the CCLAS EL menu or run the Staff.exe application in the Exe folder to display the Staff Form. Where the MainListViewGrid STAFFAPP program setting is enabled, then the list-view grid displays grid lines.

  2. Select the Staff » Staff codes node.
  3. Where a query form is presented in the bottom of the right-hand grid, then enter criteria and click the Query button to filter the content returned to the grid.
  4. Where the Properties main menu option is enabled, to further filter the grid content based on column criteria, select the Properties main menu option and filter data using column criteria. Refer to Using the Screen Interface.

To create a staff account:

  1. Click New to display the AddNew form.
  2. Enter the New code.
  3. Click OK to create the staff account and open the StaffEdit Form, or click Cancel to not proceed.
    No settings, except for Access Levels (which are set to 0 by default) now exist for this staff account. Program settings are inherited from a staff role when the staff account is linked to one. The alternative is to configure program settings and access levels (0 = no access; 1 = read access, 2 = read/write access; 3 = read/write/delete access) for all the modules to which the staff member requires access.
  4. Update other details, as required.
  5. Click Save to persist the changes, or click Cancel to not proceed.

To copy a staff account:

  1. Select the row containing the Staff Code in the list-view panel.

  2. Right-click and select Save As from the menu to create the new staff account and copy all the staff settings from the existing staff account to the new staff account, and open the StaffEdit Form. The only exception to this is when CCLASMGR is copied, as GLOBAL settings for the laboratory are stored under that staff account, and the GLOBAL settings are never copied to other staff accounts. Update the entity, and set a password, as required.

To review a staff account:

  1. Double-click a Staff Code to open the StaffEdit Form.

To update general details for a staff account:

  1. Double-click a Staff Code to open the StaffEdit Form and select the General tab.
  2. Enter the First name, Surname and Title.
  3. Click ... to locate and select an Image file for the staff member.
  4. Enter the Email, Telephone, Fax, Mobile and Other mobile, as required.
  5. To force the staff account to log in to CCLAS with a password, selecte Password required?.
  6. Select Account disabled where the staff account is disabled. This field is automatically selected by the system where the password is expired and the account is configured to become disabled upon this expiry, as follows. When a staff member attempts to log into a disabled staff account, an error message is returned: The specified staff account is disabled.
  7. Where a password is required, to enforce a periodic password change, select Force change password and enter the number of Days change password. The Expiry date displays accordingly. To disable the account on password expiry, select Disable on expiry.
  8. Where a password is not required, clear Force change password, click >> to open the New Password dialog box, and click Clear.

    Note: If the password is not cleared, it is still enforced even though Force change password is not selected.

  9. Select the Role from all staff accounts that are defined as a staff role, where applicable.
  10. Select the Section from all laboratory sections defined in the Setup application.
  11. Select the Supervisor from all other staff accounts.
  12. Select the reporting Group in which the staff member is included, from all staff groups.
  13. Click Save to persist the changes, or click Cancel to not proceed.

To change the staff account's password:

  1. To change the staff account's password, click >> to open the ChangePwd Form.
  2. Either enter the Password and password Verification and click OK to apply the change, or click Cancel to not proceed.
  3. Or, click Clear so that the next time the staff member attempts to log into CCLAS, then they are forced to enter a new and valid password to proceed. Note that the Clear option is not available where a password does not currently exist for the staff account.

To enter custom details for a staff account:

  1. Where the StaffUser.SCR screen file exists, select the User tab to open the custom form to update the custom details, as required.
  2. To change the interface colours for the staff member using the default script in the StaffUser.SCR file supplied with CCLAS:
    1. Double-click the row containing the colour theme to select it for CCLAS screens.

    2. To modify individual colours, click ... next to the form, input or label colour, select the colour from the grid, and click OK.

    3. Click Show Me to show the affect of the colour changes. The current colour settings are displayed in the Example section on the form.

    4. Click Preserve to add the current colour settings to the list of themes,
    5. Click Apply to apply the current colour settings as the default for the staff account. This copies the current CCLAS program settings for colour from the CCLASMGR staff account to the current staff account.
    6. Click Save to save all themes in the list to the CCLAS INI file, or click Cancel to not proceed.

To delete a staff account:

  1. Click Delete.
