Import Document Links From a Spreadsheet
LandTracker can import document links from an Excel spreadsheet. When importing data from legacy systems, ensure the column order is as specified.
To prepare a spreadsheet for import:
Important: Column names are space and case sensitive, they must be written exactly as below.
- Enter the required columns:
Asset—The name or code of the asset.
Note: Asset names must be exactly as they are in LandTracker. For example, tenement names should not include spaces or suffixes.
Note: It is recommended that the name or code is unique so that documents link to the correct asset.
- Path—The location and name of the document. This can be one of the following:
- Local (example: E:\Foldername\Filename.docx)
- A UNC path (example: \\server-srv1\Foldername\Filename.docx)
- A URL (beginning with http or https)
- Enter any of the following optional columns:
- Asset Type—Tenement, agreement, environmental
- Summary—Description of the document.
- Comments—Anything to be included in the documents Comments field.
To import the document links:

On your computer, open the spreadsheet you want to import and select the tab containing the columns to be imported.
Note: If the document is in protected view you must select Enable Editing as LandTracker must be able to write to the spreadsheet.

On the Dashboard under the Groups and Links section, click Manage Documents.
The Edit Admin Documents screen displays all document links created in LandTracker.

Click Import.
A confirmation message displays the number of document links to be imported.

Click Yes.
A confirmation message displays when the import is complete.
Note: If there are errors, they are added to an Import Status column on the spreadsheet. Errors include:
- File not found—The file is missing or the name or path is incorrect.
- No matching asset found—The asset does not exist in LandTracker. Check format and spelling.
- Required field(s) missing—Mandatory columns (Asset and Path) are missing.
