Create a Simple Sales Contract

Security Note: You need the Allow contract maintenance security right in the Contracts domain security rights group for this activity.

Activity Steps

  1. Open the Contract Explorer.

    Note: Simple sales contracts can also be created via the Contracts tab of the Organisation, Company or District, or via the Organisations panel of the Solution Explorer.

  2. Right-click in the Contracts table and select New » Simple Sales Contract from the menu.

    The Contract Creation screen displays.

    If the contract is created from the Organisation, Company or District, applicable fields are preselected and read-only.

  3. Complete the following fields as required.
    • Contract Category—Select from the Contract Category list items defined in the List Editor. The Contract Category text list items can be used to limit access to contracts through domain security. See Domains.
    • Buyer—Select from the organisations and companies defined on the Organisations panel of the Solution Explorer.
    • Seller—Select from the companies defined on the Organisations panel of the Solution Explorer.
    • District—Select from the districts defined on the Organisations panel of the Solution Explorer.
    • Start Date—The start and end dates are only an indication of when the specified rules of the contract apply. There is no validation on the date period. Default: The first day of the current month.

  4. Click OK.

    The Sales Order Form displays.

  5. Update the Name if required.
  6. Enter a Document Reference if required.
  7. Select the Currency and Secondary Currency as required. A currency hierarchy is applied throughout the contract terms, such that if no currency is defined on a lower level, the primary currency is used. The secondary currency may be used by the company's own back-office system or chart of accounts. Amounts in this currency can be displayed on invoices or exported to the company's ERP system. Select from the currencies defined in the Currency/Exchange Editor.
  8. To add a contract product:
    1. Right-click in the Product Orders field group and select New from the menu.
    2. Select the product or brand.
    3. Complete the following fields.
      • Product—Name of the product.
      • Description
      • Required Quantity
      • Quantity Unit—Select from the Mass units defined in the Unit Conversion Editor.
    4. To add quotation pricing with a fixed unit price, complete the following fields.
      • Currency
      • Price Value
  9. Click Save.

    Note: If the Sales Contract status definition exists, the sales contract is assigned the initial status. This status definition controls whether the sales contract is editable and selectable. See Status Definitions.

  10. To view the full sales contract, click Detail View.
