Enter Berth Occupancy Records for a Shipment

Berth occupancy records record shipment movements between berths at the port; or loading or unloading at multiple berths.

Note: Assigning the shipment to a berth may limit the process flows that are available for loading the shipment. Shipment berth allocations can also be managed via the Ship And Barge Line-up Explorer. See Despatch Line-ups.

Data Synchronisation

Data entered in berth occupancy records is not synchronised to the Route Plan tab. However, some data entered in the Route Plan tab is synchronised to berth occupancy records.

Single Berth Occupancy Record

When data is first entered for the actual Berth Date, Start (Un)Loading, End (Un)Loading, Unberth Date or Berth on the Route Plan tab, a berth occupancy record is automatically created with dates and the berth inherited from the Route Plan tab.

These dates and berth cannot be edited on the Berth Occupancy tab. Changes to this data on the Route Plan tab are synchronised to the berth occupancy record.

Multiple Berth Occupancy Records

If additional berth occupancy records are created, only the Berth Date of the first berth occupancy record and the Unberth Date of the last berth occupancy record must be inherited from the Route Plan tab.

The berth names and the other dates on the Berth Occupancy tab are editable. This includes the Start (Un)Loading date of the first berth occupancy record and the End (Un)Loading date of the last berth occupancy record, which are inherited from the Route Plan tab.

The Start (Un)Loading and End (Un)Loading dates can be cleared to indicate that no (un)loading occurred at a berth.

If the Start (Un)Loading date is changed on the Route Plan tab, the change is synchronised to the first Start (Un)Loading date on the Berth Occupancy tab. Similarly, if the End (Un)Loading date is changed on the Route Plan tab, the change is synchronised to the last End (Un)Loading date on the Berth Occupancy tab.

Data Validation

When multiple berth occupancy records exist, the logical sequencing of dates is validated:

  • Within each berth occupancy record (for example, Berth Date must be earlier than Start (Un)Loading)
  • Between multiple berth occupancy records (for example, Berth Date must be later than the Unberth Date of the previous record)

Invalid dates are highlighted with a red background, but may still be saved.

Activity Steps

  1. Open the Shipment.
  2. Select the required route point in the Route diagram.
  3. If the route point can be used for both loading and unloading, select whether to enter data for Loading or Unloading for the route point.
  4. Select the Route Plan sub-tab of the Itinerary tab.
  5. To enter berthing information for a loading route point, update the following fields as required.
    • Berth Date - Actual—A Vessel/Ship must already be assigned to the shipment.
    • Start Loading - Actual—Default: The time of the first loading transaction or movement.
    • End Loading - Actual
    • Unberth Date - Actual
    • Berth - Actual—Select from the berths that are at the loading port location and that have a Loading Type of Loading Only or Both.

    An initial berth occupancy record displays on the Berth Occupancy sub-tab of the Itinerary tab.

  6. To enter berthing information for an unloading route point, update the following fields as required.
    • Berth Date - Actual—A Vessel/Ship must already be assigned to the shipment.
    • Start Unloading - Actual—Default: The time of the first unloading transaction or movement.
    • End Unloading - Actual
    • Unberth Date - Actual
    • Berth - Actual—Select from the berths that are at the unloading port location and that have a Loading Type of Unloading Only or Both.

    An initial berth occupancy record displays on the Berth Occupancy sub-tab of the Itinerary tab.

  7. To create an additional berth occupancy record:
    1. Select the Berth Occupancy sub-tab on the Itinerary tab.
    2. Right-click in the Berth Occupancy tab and select New from the menu.
    3. Update the following fields as required.
      • Berth
      • Berth Date
      • Start Loading (or Start Unloading)
      • End Loading (or End Unloading)
      • Unberth Date
  8. To delete a berth occupancy record, right-click the record and select Delete from the menu.
  9. Click Save.
