Add a Despatch Order to a Despatch

Important: If the same material will be transported on multiple despatches, consider which despatch(es) should have the despatch order:

  • If loading bulk material directly from one despatch onto another despatch, the despatch order can only be on one despatch. See Direct Loading Between Despatches.
  • If loading discrete units directly from one despatch onto another despatch, the despatch order can be on both despatches if required. Costs and service charges on both despatches can be invoiced with the same despatch order.
  • If unloading bulk material to an intermediate location; for example, a stockpile, before loading onto a subsequent despatch, the despatch order can only be on one despatch. In this scenario, add the despatch order to the fulfilment despatch.
  • If unloading discrete units to an intermediate location; for example, a warehouse, before loading onto a subsequent despatch, the despatch order can be on both despatches if required.

Security Note: You need the Allow the user to maintain despatch orders security right in the Contracts domain security rights group for this activity. Depending on the despatch type, you also need the applicable security right:

  • Allow the user to maintain despatch orders on trains in the Trains domain security rights group
  • Allow the user to maintain despatch orders on truck despatches in the Trucks domain security rights group
  • Allow the user to maintain despatch orders on barge service trips in the Barge Despatches domain security rights group
  • Allow the user to maintain despatch orders on shipments in the Shipments domain security rights group

Activity Steps

  1. Open the Train, Truck Despatch, Service Trip or Shipment.
  2. Select the Despatch Orders tab; or for a shipment, the Despatch Orders sub-tab of the Marketing tab.
  3. Right-click in the Despatch Orders table and select Add Despatch Order from the menu.

    The Despatch Order Search screen displays.

  4. To limit the search by Planned Despatch Date:
    1. Check Include Date Range.
    2. Select a Start Date and End Date.
  5. Enter the following search criteria as required.
    • Organisations—Select from the organisations and companies defined on the Organisations panel of the Solution Explorer.
    • Companies—Select from the companies defined on the Organisations panel of the Solution Explorer.
    • Products—Select from the products and brands defined on the Material panel of the Solution Explorer.
    • Parent DOs / Child DOs—Whether to search for parent despatch orders (PDOs) or for child despatch orders (CDOs). If set to PDOs, the search results include standard despatch orders (DOs), split parent despatch orders (SPDOs) and consignment parent despatch orders (CPDOs). If set to CDOs, the search results include CDOs of aggregated parent despatch orders (APDOs) and CDOs of CPDOs. See Parent and Child Despatch Orders.

      Note: APDOs cannot be loaded onto a despatch. Neither can the CDOs of SPDOs.

  6. To include a text string in the search criteria:
    1. Select the method to Search By from Despatch Order, Contract, Organisation, Product or Despatch Order Status.
    2. Enter the Search Text. Text searches are case-sensitive with SQL databases with a case-sensitive collation and with all Oracle databases.
  7. Click Search or press F3.

    Note: If the Despatch Order status definition exists, only despatch orders with a selectable status display.

  8. Check Selected for the despatch order(s) to add to the despatch.
  9. Click OK.
  10. Click Save.
