Split a Despatch Order

Security Note: You need the Allow the user to maintain despatch orders security right in the Contracts domain security rights group for this activity.

Activity Steps

  1. Find the despatch order in the Despatch Order Explorer, or in its Sales Contract or Purchase Contract.
  2. Right-click the despatch order and select Split Despatch Order from the menu.

    The Despatch Order Splitting screen displays the Split Quantities page with the following read-only details of the original despatch order:

    • Name
    • Required Quantity—In the applicable basis.
    • Quantity Unit—Unit of measure for the required quantity.
    • Has Linked DOs—Whether the original despatch order has linked despatch orders.
    • Is Hedged—Whether the original despatch order has allocated hedge positions.
    • Traded With—Despatch orders with which the original despatch order is traded, if any.
    • Traded Quantity—Total quantity allocated to trades, if any, in the same basis as the required quantity.
    • Last Invoice—Name of the last sales or purchase invoice, if any. Other invoice types (such as service, demurrage or credit notes) do not display.

    The Accrual Invoice Type parameter is read-only. Configure the invoice type for split accruals on the Invoice Types screen.

  3. On the Split Quantities page:
    1. Enter the Number Of Despatch Orders After Split. This number must be greater than 1 because it includes the original despatch order; that is, 1 means that the despatch order is not split.

      The Split Despatch Orders table displays one row for each despatch order.

      You can also:

      • Right-click in this table and select New to add a despatch order.
      • Right-click a despatch order in this table and select Delete to delete a despatch order.
    2. Update the Required Quantity for each split despatch order in the displayed basis.

      The required quantity of the original despatch order is the balance and is read-only. The balance must be greater than zero.

    3. Select whether to Split Service Invoices. If checked and the original despatch order has service or freight invoices, a split accrual invoice is created for each latest service or freight invoice. Default: Unchecked.
    4. Click Next.

      If the original despatch order was traded, the Traded Quantities page displays a suggested splitting of the trades.

      • Name—Name of the original or split despatch order.
      • Required Quantity
      • Trade—Name of the original trade(s). If an original trade name displays more than once in the Trade column, it indicates that the original trade will be split. MineMarket renames new trades when the despatch order splitting is finished.
      • Traded With—Name of the despatch order on the other side of the trade, or else 'MTM' to indicate a set of mark-to-market terms.
      • Traded Quantity—Editable for trades and MTM allocations.
  4. On the Traded Quantities page:
    1. To add a trade to a despatch order, right-click the despatch order name and select Assign To and the original trade from the menu.

      This menu option does not display if the despatch order already has an allocation to every trade that the original despatch order was in.

    2. To delete a trade, right-click the trade and select Delete from the menu.

      MTM allocations cannot be deleted.

    3. Edit the Traded Quantity for trades and MTM allocations as required so that the two numbers in the Total row are equal.
    4. Click Next.

      If the original despatch order has multiple quotation periods (QPs), Pricing pages display the following information for product pricing or for each payable analyte.

      • Name
      • Required Quantity
      • QP—A column for each QP displays the date range of the QP, the final price and the quantity of material or analyte at that price.
      • Weighted Average Price—Across multiple QPs if applicable.
  5. On each Pricing page:
    1. Update the distribution of the Priced quantity between despatch orders for each QP if required.

      The total quantity for each QP cannot change; however, the quantity for the last (right-most) QP can be cleared if required to account for later variations in quantity. Negative quantities can also be entered if required.

    2. Click Next.

      If the original despatch order was hedged, Hedging pages display the following information for product pricing or for each payable analyte.

      • Name
      • Required Quantity
      • Priced—The quantity of hedge positions with a final valuation.
      • Hedged—The total allocation to hedge positions.
      • UOM—Unit of measure of the material or analyte.
  6. On each Hedging page:
    1. Update the Hedged quantity for each despatch order if required.
    2. Click Next.

      If the original despatch order has costs or service charges, the Cost Summary page displays. Most costs and service charges are duplicated to the split despatch orders. However, costs and service charges with a rate detail basis of Demurrage/Despatch, Fixed Amount Per Despatch Order or Time are split pro-rata.

  7. On the Cost Summary page:
    1. Review the costs. These values are read-only.
    2. Click Finish.

      A confirmation message displays.

      Important: The despatch order spitting cannot be undone after confirming the split. However, the individual despatch orders (and their quantities, trades and hedging allocations and so on) can be edited as normal.

    3. Click Yes.

      MineMarket splits the despatch order and creates trades, hedging allocations and invoices as required. If the original despatch order is the source despatch order of a linked contract or manual link, MineMarket creates linked despatch orders as required for the split despatch orders. If the original despatch order is the source despatch order of a data link, MineMarket creates target despatch orders as required for the split despatch orders. A status message displays.

    4. Click OK.
