Import Legacy Actions

The term "Legacy" here is defined as a management/database system containing data to be migrated to LandTracker.

Export the data from your legacy system into an Excel spreadsheet and LandTracker can import these actions.

Note: You need the action definition template for legacy actions loaded into LandTracker. Find the latest version here Download Templates and Action Definitions.

Activity Steps

Important: Before importing the actions, ensure the assets exist in LandTracker.

Important: Your spreadsheet column headers must be written exactly as below as the import is space and case sensitive.

  1. Open your spreadsheet and select the tab containing the actions to import

    Note: LandTracker needs to be able to write to the spreadsheet. If the spreadsheet is in Protected View, click Enable Editing.

  2. Prepare your spreadsheet for import with necessary columns, see below:

    Required Columns

    • Due Date—(Date) mm/dd/yyyy.

    • Lease—(Text) The name of the asset, must be a valid asset name in LandTracker (example: E 28/1234).

    • AssetType—Agreement, tenement, or environment.

    • Action—(Text) Name of the action (example: Pay rent).

    Optional Columns

    • Notes—(Text) Any custom information associated with the asset.

    • Responsible—(Text) Who is responsible for the action (person, company etcetera).

    • Completion Date—(Date) mm/dd/yyyy

      Note: If the action is already complete, this will update LandTracker's completion date for the action.

    • Amount—(Number)For monetary amounts associated with an action.

  3. In LandTracker, on the Dashboard, under Actions, click Import Actions From Excel.

    A confirmation message displays the number of actions being imported.

  4. Click Yes.

    A Change Tracking screen displays updates to the database and a column is updated in the spreadsheet with any errors.

  5. To review errors:
    1. Open your spreadsheet navigate to the Import column.

      Text of No Matching Asset Found displays in assets that are missing in LandTracker.

    2. Drop Changes in the Change Tracking screen.

      Note: If you save the updates and import the data again, any actions that did not have an import error will duplicate.

    3. Import missing assets. See Import Tenements From Data Service.

    4. Attempt import again.

  6. Save Updates.
