Approved, Live and Combined Datasets
In Reconcilor, you can work with data in three different states: Live, Approved and Combined.
These states help you understand whether you are looking at the latest working data, final approved data or a mixture of both.
Reconcilor keeps updating recent imported data within a defined 'lookback period'. In simple terms, the lookback period is the recent span of time that Reconcilor keeps refreshing as new imports and updates arrive.
If data is updated in a period before the most recently approved period, the live dataset also reflects that change.
What Each Dataset State Means
- Live – Includes the latest imported data that is still changing as new imports and updates arrive.
- Approved – Includes only data that has been formally approved and locked for reporting.
- Combined – Includes approved data together with newer live data that has not yet been approved.
When to Use Each Dataset State
Use Live data when you want to see the most recent working values.
Use Approved data when you need final values for reporting or formal review. Only available if your site uses the Data Approval module.
Use Combined data when you want to look across approved history and newer live periods in one view.
Why This Matters
Two users can look at the same period and see different results if they are using different dataset states. For example, one user may be looking at live data that is still changing, while another may be looking at approved data that has already been locked.
Understanding the current dataset state helps you judge whether the numbers are still moving or ready to rely on for reconciliation and reporting.
Where You Can Choose a Dataset State
Many analysis screens let you choose whether you want to view Live, Approved or Combined data. For example:
- Continuum Screen – Review performance across approved and live time periods.
- Model Comparison Screen and Trends Screen – Compare data while controlling for dataset state.
- Pivot View Screen (Custom Filter) – Filter or query data by dataset state.
- Pivot View Screen (Configure Query) – Select approval-related dimensions when defining custom queries.
How This Relates to Data Overview and Data Approval
The Data Overview Screen helps you see whether data is available for a selected period and location. It also helps you understand whether the data is Live or Approved. See Data Overview.
The Data Approval Screen is used to approve data for reporting. Approval changes data from a live state to an approved state for the selected scope. See Data Approval.
