Canned comments are commonly used text responses that are created and classified by where they would be used, and then inserted quickly into note fields. For example, in commercial laboratories, standard clauses or phrases from regulatory documents (such as the ASTM standards) are placed onto reports along with the results, or in place of the results.

Canned Comment text entry allows the entry of text supporting a Rich Text format.

A Canned Comment Group is a collection of canned comments.

Canned Comment Scope

Canned comments are created either with org-scope or lab-scope. An organisation or laboratory can contain multiple canned comments.

Canned comments are scoped by:

• Functional area within CCLAS—Global, Registration, Receipt, Analysis, Release, Validation, Authorisation, Report or Invoice.
• Usage—Global, Job, Sample or Scheme.

Use of Canned Comments

Canned comments can be made members of various canned comment groups which can then be assigned to entities, such as schemes and sections, to assist the selection of an appropriate entry in a note field related to that entity.

When the F2 function key is hit on a field that uses canned comments, the drop-down list of available canned comment codes is filtered based on the scope of canned comment with respect to the entity having canned comments entered, and either:

• The Canned Comment Type (GLOBAL, JOB, SAMPLE or SCHEME) and the Canned Comment Subtype (GLOBAL, REGISTRATION, RECEIPT, ANALYSIS, RELEASE, VALIDATION, REPORT or INVOICE)

or:

• The list of category codes entered in the Category Code. The category codes are initially populated from the Categories whose code appears in the related preference, where the preference changes according to the particular notes field being updated:

  • NOTES_JOBSCHEME_RESULT_CATEGORIES
  • NOTES_SAMPLE_ANALYSIS_CATEGORIES
  • NOTES_SAMPLE_PRODUCT_CATEGORIES
  • NOTES_SAMPLE_REGISTRATION_CATEGORIES
  • NOTES_SAMPLE_REPORT_CATEGORIES
  • NOTES_SAMPLESCHEME_ANALYSIS_CATEGORIES
  • NOTES_SAMPLESCHEME_REPORT_CATEGORIES
  • NOTES_SAMPLESCHEME_RESULT_CATEGORIES
  • NOTES_SAMPLESCHEMEANALYTE_REPORT_CATEGORIES.

When a code is selected, the full text is inserted.
