Maintain client quotes

To search for quotes associated with the client:

  1. Use the Maintain clients activity to update the client and display the ClientEdit Form.
  2. Select the Details tab and select the Quotes node in the Folder Items list.

To create a quote:

  1. Click New to display the AddNew form.
  2. Enter the New code, or click ... for the system to generate a Quote code using the Quote SYSTEM Number Sequence (refer to Maintaining Unique Number Sequences).
  3. Click OK to create the quote and open the ClientQuoteEdit Form to update the quote details, as required, or click Cancel to not proceed.

To review a quote:

  1. Double-click a Quote Code to open the ClientQuoteEdit Form.

To update the general details of a quote:

  1. Double-click a Quote Code to open the ClientQuoteEdit Form.
  2. Select the General tab.
  3. Enter the Quote description.
  4. To apply the quote only in context of a project, select the Project code.
  5. To link the quote to a client contact, select the Contact code.
  6. Click ... to locate and upload a Notes file for the quote.
  7. Select the Quote date, Expiry date and Accepted date of the quote.
  8. Click Save to close the form and save the general details of the quote, or click Close to close the form.

To update the schemes and analytes in the quote's price group using the Quote Wizard:

  1. Select an existing Price group code to load its schemes and analytes into the Quote Wizard, or leave the price group empty to create a new price group for the quote.
  2. Click Quote Wizard to display the QuoteWizardNew Form. Note that, the Quote Wizard is used to add schemes and analytes to the quote, however, they are removed only by Maintaining Price Groups.
  3. Select the Quote tab. The Conversion code set on the quote is inherited from the client.
  4. Where a Price group code is selected in the previous step, it passes through to the Quote Wizard and displays as the Group code on the Quote tab, and its schemes and analytes are loaded into the Schemes tab.
    If a Price group code is not selected in the previous step, select an existing Group code to load its schemes and analytes, or click ... for the system to generate a new Group code using the Quote unique number sequence (refer to Maintaining Unique Number Sequences).
    Note that a Group code MUST be selected here as it is the repository for the schemes and analytes covered by the quote.
  5. Enter the Description of the price group.
  6. Select the Scheme tab.
  7. Expand the Scheme » Selected node in the Folder Items panel to display schemes selected for the price group.
  8. Expand the Scheme » Available » ANA or PRP node in the Folder Items panel to display analytical or preparation schemes, respectively, available for adding to the price group.
  9. Where a query form is presented in the bottom of the right-hand grid to select available schemes and analytes, then enter criteria and click the Query button to filter the content returned to the grid. Otherwise the list-view panel is loaded with all schemes.
  10. To add analytical schemes to the price group:
    1. Select the ANA node to display available ANA (Analytical) schemes in the list-view panel.
    2. To add all analytes as a scheme is added in the next step, toggle Add all in the main menu to display as . To not add analytes, but to selectively add them after a scheme is added, toggle Add all in the main menu to display as .
    3. Check the selection box adjacent each analytical scheme to add the schemes under the Scheme » Selected node.
      Note: Where the add-all-analytes is activated, then the scheme's analytes are automatically checked for inclusion in the price group, and where it is not activated, then the scheme's analytes are not checked for inclusion in the price group - this must be done separately.
      The LIMS may be configured to filter which analytes are brought in from the scheme.
      The price codes come through from the scheme, or from the analytes for analyte-based priced schemes.
    4. To change selection of analytes for each analytical schemes under the Scheme » Selected node, select the node for the analytical scheme and check or uncheck the selection box adjacent each analyte, as required, to include the analyte in the price group.
  11. To add preparation schemes to the price group:
    1. Select the PRP node to display available PRP (Preparation) schemes in the list-view panel.
    2. Check the selection box adjacent each preparation scheme. The price codes come through from the scheme.
  12. To add schemes and analytes from a procedure to the price group:
    1. Click Add procedure in the main menu to open the ProcedureAdd Form.
      Note: A procedures can only be selected when its schemes and analytes have price codes set up for the same currency (price book) defined for the current client, or if the procedure has no price codes defined.
    2. Where a query form is presented in the bottom of the form to select available procedures, then enter criteria and click the Query button to filter the content returned to the grid. Otherwise the grid is loaded with all procedures.
    3. Select one or more procedures, using the Control and Shift keys to select more than one contiguous or non-contiguous procedures.
    4. Click OK to close the form and add the missing schemes and analytes from selected procedures to the price group, or click Cancel to close the form and not proceed. The price codes come through from the procedure.
  13. To change the order of schemes in the price group:
    1. Select a Scheme » Selected » Scheme Code node and click Up or Down.
  14. To change the order of analytes within a scheme of the price group:
    1. Select a Scheme » Selected » Scheme Code » Analyte Code node and click Up or Down.
  15. To apply a discount on regular pricing to a quote scheme:
    1. Right-click a SchCode under the Scheme » Selected node and select Edit Discount from the menu to open the DiscountEdit Form.
    2. Enter the Discount.
    3. Click OK to close the form to update the scheme discount for the quote, or click Cancel to not proceed.
  16. To apply an alternate pricing schedule to a quote scheme, where the scheme has an analyte-based (ANA) pricing schedule:
    1. Double-click a SchCode under the Scheme » Selected node and select Edit Discount from the menu to open the SchAdd Form.
    2. Enter the Description and Invoice note.
    3. Enter the Base price and Base note.
    4. Either apply a fixed block price:
      1. Enter the Price for analyte.
    5. Or apply a range-based block pricing structure grid:
      1. Click >> to display the block pricing structure grid, then:
      2. Enter rows in the grid, and for each row, enter the Values up to, Portion size and Price of portion.
      3. Where prices are determined from a single row matching the range, then check the Non-aggregate check box. Where prices are determined from each row up to the row matching the range, then uncheck the check box.
    6. Click Save to persist the changes, or click Close to not proceed.
  17. To apply an alternate pricing schedule to a quote scheme, where the scheme has an hourly-based (HLY) pricing schedule:
    1. Double-click a SchCode under the Scheme » Selected node and select Edit Discount from the menu to open the SchAdd Form.
    2. Enter the Description and Invoice note.
    3. Enter the Base price and Base note.
    4. Either apply a fixed block price:
      1. Enter the Price per time portion.
    5. Or apply a range-based block pricing structure grid:
      1. Click >> to display the block pricing structure grid, then:
      2. Enter rows in the grid, and for each row, enter the Time up to, Time portion size and Price of time portion.
      3. Where prices are determined from a single row matching the range, then check the Non-aggregate check box. Where prices are determined from each row up to the row matching the range, then uncheck the check box.
    6. Click Save to persist the changes, or click Close to not proceed.
  18. To apply an alternate pricing schedule to a quote scheme, where the scheme has a scheme-based (SCH) pricing schedule:
    1. Double-click a SchCode under the Scheme » Selected node and select Edit Discount from the menu to open the SchAdd Form.
    2. Enter the Description and Invoice note.
    3. Enter the Base price and Base note.
    4. Either apply a fixed block price:
      1. Enter the Price per analyte.
    5. Or apply a range-based block pricing structure grid:
      1. Click >> to display the block pricing structure grid, then:
      2. Enter rows in the grid, and for each row, enter the Analytes number up to, Price per analyte, Min price in range and Max price in range.
      3. Where prices are determined from a single row matching the range, then check the Non-aggregate check box. Where prices are determined from each row up to the row matching the range, then uncheck the check box.
    6. Click Save to persist the changes, or click Close to not proceed.
  19. To apply an alternate pricing schedule to a quote scheme, where the scheme has a sample-based (SAM) pricing schedule:
    1. Double-click a SchCode under the Scheme » Selected node and select Edit Discount from the menu to open the SchAdd Form.
    2. Enter the Description and Invoice note.
    3. Enter the Base price and Base note.
    4. Either apply a fixed block price:
      1. Enter the Price per sample.
    5. Or apply a range-based block pricing structure grid:
      1. Click >> to display the block pricing structure grid, then:
      2. Enter rows in the grid, and for each row, enter the Samples per range, Price per sample, Min sample price and Max sample price.
      3. Where prices are determined from a single row matching the range, then check the Non-aggregate check box. Where prices are determined from each row up to the row matching the range, then uncheck the check box.
    6. Click Save to persist the changes, or click Close to not proceed.
  20. Click Save to update the price group, or click Refresh to load the original schemes and analytes from the price group.
  21. Click Close to close the Quote Wizard.

To apply the quote to a procedure:

  1. Select the Procedure code.
  2. Click Save to close the form and save the quote details, or click Close to close the form.

To enter custom details for a quote:

  1. Where the LIMS is configured to allow for the entry of custom details for the client quote, select the User tab to display the custom form to update the custom details, as required.

To delete a quote:

  1. Click Delete.
