View a Despatch Order Revenue Snapshot

Security Note: Assuming you can view the despatch order, no specific security right is required for this activity. If you have the Allow the user to recalculate despatch order snapshots on the MineMarket Client security right in the Contracts domain security rights group and you queue the most recent default snapshot for recalculation and clicks Save, the snapshot is recalculated immediately on the MineMarket Client. This security right may be useful if the MineMarket Marketing Service has a long queue of pending calculations but an invoice needs to be raised urgently. The snapshot is also still queued for recalculation using the MineMarket Marketing Service. See Domain Security Rights - Contracts.

Activity Steps

  1. Open the Despatch Order.

    Note: You can also view the snapshot via the Despatch Orders node of the Sales Contract or Purchase Contract.

  2. Select the Assay Values Snapshot tab.
  3. Select the Invoice Type if required. Only applicable if Create Snapshot Per Invoice Type is checked in the snapshot settings. See Specify Snapshot Settings. Select from:
    • None—The default snapshot displays. The default snapshot represents the most up-to-date data, based on contractual terms, and using the most recent weights and assays present in the system. The default snapshot is the only snapshot that displays data for costs and for profit and loss.
    • Invoice types that meet all the following criteria:
      • Are specified on the Options screen
      • Are contractual invoice types in the applicable set of contract terms
      • Have payment terms in the applicable set of contract terms if Payments Due is checked on the Invoice Types screen
    • Mark To Market—See View the Mark-to-Market Value of a Despatch Order.
  4. Select the Archive Date for which to view data from a copied snapshot if required. Only applicable if Create Copy Of Snapshots is checked in snapshot settings. To view the most recent snapshot for the selected Invoice Type, clear the Archive Date.
  5. Select the Revenue tab.
  6. View the following information for the despatch order in the Summary table.
    • Quantities:
      • (Current) Quantity
      • (Current) Dry Quantity
      • Weight Value Source—If the weight value source is Sales Quantity or Purchase Quantity, the weight is from a source despatch order of a data link.
      • Quantity UOM

        Note: If the contract has a mass adjustment, the (Current) Quantity and (Current) Dry Quantity have tooltips that display the adjusted quantities.

    • Delivery Detail—Only applicable to mark-to-market (MTM) snapshots.
      • Product
      • Delivery Term
      • Loading Location
      • Unloading Location
      • MTM Date
      • MTM Name
    • Pricing Detail—Only applicable to snapshots based on contracts with product pricing.
      • Price
      • Price UOM
      • Is Final Price—Whether the price is a final price.
      • QP—Quotation period.
    • (Primary and secondary if applicable) Currency:
      • Value Before Tax
      • Total Tax Value
      • Total Value
      • Due Amount—Only applicable to snapshots specific to an invoice type.

        Note: The due amount takes into account any prior snapshot due amounts. This is to simulate the cash receipt forecast for the despatch order. For example, if snapshots exist for Provisional and Final, the due amount in the Final snapshot is the Final Total Value * Final Payable PercentageProvisional Snapshot Due Amount.

    • Error Message—Only applicable to snapshots based on contracts with product pricing.
    • Bill Of Lading—Only applicable to the default snapshot:
      • Date
      • SourceActual Date (the Bill Of Lading Date of the despatch order); ATD (at origin); ETD (at origin); ATA (at origin); ETA (at origin); Override (the Estimated Bill Of Lading Date of the despatch order); or Planned Despatch (the Planned Despatch Date of the despatch order).
    • Invoice Dates for all invoice types for which issue date terms have been specified in the contractual payment terms, as long as the applicable reference date (or a fall-back date) is available and Estimate Invoice Date Using Issue Date Terms is checked in snapshot settings. If Estimate Invoice Date Using Issue Date Terms is unchecked, the estimated invoice date is considered to be the planned despatch date or the current date, whichever is the later. If a locked invoice exists, its date displays instead of an estimated date.
    • Due Dates for all invoice types for which at least one instalment has been specified in the contractual payment terms, as long as the applicable reference date (for example, bill of lading date) is available.
    • Control Passed—Only applicable to the default snapshot and if Delivery Terms have been specified for the despatch order.
      • Date—Depends on the configuration of the delivery terms associated with the despatch order.
      • StatusActual or Estimated.

      Note: For a target despatch order of a data link, the data link configuration may include linking the Risk Transfer. See Despatch Order Data Links.

    • Archive Date—The date of the most recent historical snapshot prior to the selected archive date. Only applicable to historical snapshots.

      Note: If the archive date does not match the selected archive date, an historical snapshot specific to the selected archive date does not exist. The missing historical snapshot can be calculated. See steps below.

    • Date Last Modified—Date on which the snapshot was last calculated.
  7. View the following information for each analyte on the Assay Info tab.

    Analytes that are in the despatch order specifications display in the same order as on the despatch order Specification tab. Other applicable analytes (that is, additional payable or penalty analytes specified in the applicable set of contract terms) display below the specification analytes.

    • Analyte Definition

    • Value
    • Value Source—In ascending order of precedence:
      • None
      • Purchase Quality—Values from the purchase side of a trade if Use Purchase Weights And Assays is Until Realised, Until Assayed, Until Finalised or Always for the sales despatch order.
      • Specifications—Values as displayed on the despatch order's Specification tab.
      • Assume Source—Values that the loaded bulk materials or discrete units have from samples or surveys earlier in the supply chain.
      • Loading—Sample values on the despatch at the loading location.
      • Unloading—Sample values on the despatch at the unloading location.
      • Avg. Loading & Unloading
      • Assay Exchange - Partial
      • Assay Exchange - Final
      • Deemed
      • Stockpile—Only applicable if the despatch order has a Linked Stockpile, Stockpile State Date and Stockpile State Rules specified on the Details tab and used for reporting purposes. Values represent the monetary value of the stockpile.

      Note: If the analyte is applicable to multiple despatch orders; for example, if the snapshot is of an aggregated parent despatch order (APDO) with multiple child despatch orders (CDOs), the lowest applicable value source displays. See Parent and Child Despatch Orders.

    • Analyte Status—Only applicable if the Sample Analyte status definition exists. See Status Definitions.
    • QP—Quotation period of the analyte.
    • Content UOM
    • Analyte Mass—Displayed for:
      • All payable analytes specified in the applicable set of contract terms.
      • All penalty analytes specified in the applicable set of contract terms.
      • Any other analytes in the despatch order specifications, as long as a Content UOM has been specified for the analyte in the Analyte Definition Editor and the mass of the analyte is not zero.
    • Payable Mass—Only applicable for despatch orders for contracts with analyte pricing.
    • Total Toll Return—Total amount of the analyte included in toll returns. Only applicable for despatch orders for contracts with analyte pricing.
    • Is Payable—Whether the analyte is a specified payable analyte for the contract. Only applicable for despatch orders for contracts with analyte pricing.
    • Is Toll Analyte—Whether the analyte is tolled. Only applicable for despatch orders for contracts with analyte pricing.
    • Sample Date—Date of the latest sample results.
    • Price—The snapshot uses the latest quotation pricing (QP) that is specified in the applicable contract terms (or as overridden in the despatch order). In most cases, this is the final QP. Invoicing options specified on the Child Despatch Orders tab are not considered. If the required data is not available to calculate final invoice line items, the price can be estimated if this setting is enabled in snapshot settings. Otherwise, the invoice preview will be of the provisional invoice line items, and so on back through the applicable contractual invoice types. If the required data is not available for the first contractual invoice type, the invoice preview displays data with appropriate error messages.
    • Is Final Price—Whether the price is a final price.
    • Price UOM
    • Factor Lower Limit—Lower limit for the random factoring of the specified analyte. See Configure Random Invoice Factoring for a Set of Contract Terms.
    • Factor Upper Limit
    • Factor
    • Error Message
  8. To view the details of the quotation period, right-click a payable analyte or the main analyte of the contract product and select Show Quotation Period Detail from the menu.

    The QP Status can be:

    • Final—Sufficient information is available for the date range of the QP to be accurately determined.
    • Probable—Not all information is available for the despatch. For example, a month of arrival (MA) QP is based on the actual time of arrival (ATA), but only the estimated time of arrival (ETA) is available.
    • Estimated—The QP is estimated based on information in the despatch order only. For example, a despatch order with a MA QP has a planned despatch date and planned loading and unloading locations specified. The transit time is known from the route between those locations, and is used to estimate the time of arrival.
  9. To view the details of the quotation pricing:
    1. Right-click a payable analyte or the main analyte of the contract product and select Show Pricing Detail from the menu.

      The Quotation Pricing Detail displays.

      The Priced Quantity is the quantity of material for which the price is known. Example: For a quotation period of a month with 21 business days, if prices are known for 3 of the days, the priced quantity is the QP mass, divided by 21 and multiplied by 3.

    2. To view further information about the status of each price, click the ellipsis (...) next to Priced Quantity. The ellipsis does not display for QP lines with fixed pricing.

      The Pricing Detail displays.

      The Pricing Status can be:

      • Actual—The price is known from the price series.
      • Pending—The price should be known, but is not yet available.
      • LKQ—The price is the last known quotation from the price series.
      • Forward—The price is from a forward curve. If prompts are configured, the Prompt Date displays the date for determining the forward price. See Set up a Price Series.
      • Overridden—A user has overridden the price.
  10. To recalculate the snapshot:

    Note: The snapshot of a despatch order with a closed status cannot be recalculated. Even an historical snapshot for a date prior to that status change cannot be recalculated.

    1. If viewing the most recent snapshot, right-click the snapshot and select Queue Snapshot Recalculation from the menu.

    2. If viewing an historical snapshot, right-click the snapshot and select Queue Historical Snapshot Recalculation from the menu.

      Note: You cannot recalculate an historical snapshot if it has been used in any trade P&L that has been included in a Profit and Loss report for a date that is on or later than the date of the historical snapshot. For example, a Profit and Loss report for 30 June includes a trade P&L. Historical snapshots used in the P&L of that trade up to and including 30 June cannot be recalculated. See Trade Profit and Loss.

    3. Click OK.
    4. Click Save.

      Note: When recalculating an historical snapshot, MineMarket uses data applicable for the selected archive date, up to the time that is the time portion of the Next Run Time in the snapshot settings. Only the default snapshot and the snapshots specific to invoice types that existed at the time of the original snapshot creation are recalculated. That is, if an invoice type was 'missing' from the snapshot at that archive date, it is not created when the snapshot is later recalculated. If the despatch order is in a trade and does not have an historical P&L for the selected archive date, the P&L is also created.
