Process
Clients use the services of the laboratory to analyse their submitted samples. Clients can be external clients, internal clients or different sections of the laboratory.
Contacts and projects are defined for the client and linked to from jobs and used for report and invoice distribution. Contacts have carbon copies so that the carbon copy client contact receives a copy of certificate reports and/or data files when they are created for the contact.
Quotes are created for clients so that invoice pricing is extracted from the quote for those schemes and analytes, or procedure, covered by the quote, overriding default pricing. Where a quote is not covering a scheme or analytes, then discounts are applied where a scheme discount is configured for the client.
This process is pertinent to front office staff who configure customers, projects, contacts, scheme discounts and quotes for registration, reporting and invoicing.
Process
Clients are maintained using the Client application. You need specific rights to have visibility to this application.
Clients are maintained using simple SCRUD (search, create, review, update, delete) functionality under the Clients » Client codes node. You need specific rights to have visibility to this node.
Your system may be configured to create static data audit records upon any change to a client. These records can be seen by Reviewing Static Data Audits.
A client links to multiple contacts and projects, such that, when a job is registered for the client, then the job can link to a project and contact associated with the client or project.
A client links to multiple quotes so that, where a job links to the client, then a quote may be applied to the job. A quote's date range must match the job's registration date for the quotes pricing to be applied when an invoice is raised. A quote comprises schemes and analytes, and can link to a procedure. Each scheme and analyte covered by the quote either has a discount or its own price schedule that is applied when the quote is applied during invoicing.
